We take great care in the hotel options we offer to our clients, our selection is ruthless and detailed. The specifisities of the group or event must be taken care of. And the location must be impeccable, based on the groups needs. If they need specific numbers or sizes of meeting rooms, a certain lay-out of the hotel with outside areas, or meal requests. Site visits can be performed with or without the final client present on-site. We go over every detail with the hotel managers, inspect the rooms, as well as the commun areas. The possibilities of the meeting rooms are especially important, following the needs of the client, we make sure the hotel is correctly equipped to face their demand. We organise set-up of the hospitality desk and discuss company branding in the premises of the hotel. Pre-event planning is crucial, we coordinate rooming lists with the group responsable, taking into consideration special requests and upgrades, types of rooms, types of beds, etc. We also undertake all the paperwork and coordination with the hotel on behalf of the client.

Once the group arrives we assist in coordinating the check-in so that it is a quick and smooth experience for the guests. Often our guests arrive before the official check-in time, if we don’t manage to have all rooms ready in advance, then we arrange for a welcome drink and a safe storage room for the suitcases.
